Actual condition

The company is confronted with certain problems according to the following causes:

• Several developers have to solve a similar task, but no or only a limited
  way to perform cross-departmental development work.
• This constitutes a problem, because solutions from an area of development might also be interesting for other areas.
• Due to the lack of documentation of completed projects, the problem occurs that in similar projects, which are difficult to retrieve after long intervals, the solution which was already prepared was forgotten again.
• Due to staff turnover, approaches must always be re-drafted, because the documentation does not exist or cannot be found.
• Certain operations must always be explained to personnel additions again, because there is no (collected) documentation.
• The on the server lying documents are unstructured and confusing which handicaps the generically situation and constricts work temporally.
• One has to search for documents before they can be used, documents are often not found or overlooked.
• It’s not possible to categorize certain documents to certain subject areas.

Remit

The aim of the project is to make the work on projects easier for the SAG group, in the present and in the future.

The problems which were mentioned above, should be erased by the organisation and administration software we have developed.

This shall be accomplished with a database from an organisational structure for existing or new documents as well as possible implementations of other functions.

A database-based software named „SAGMotionPedia“ schould be developed.

Important requests are:

• A link to an already existing “project folder”
• A “literature management” with the assignment to manage all the existing literature documents, to save all the documents in a database, to assign keywords to documents, as well as a search function.
• Create a possibility to categorize imported data and documents.
• Flexible expandability: it should be possible to import new documents easily, furthermore the user should be able to create new categories if necessary.
• Semiautomatic filling: every folder and subfolder should be scanned and every existing file should be imported.
• Semiautomatic identification of doubled data: when the filling function is executed a second time already existing and imported documents shouldn’t be displayed anymore.
